Prepares cash report weekly to reconcile bank balances to internal accounting records . Assists CFO in preparing and distributing Board Finance Committee packages and agendas. Assists CFO with any tasks resulting from Board Finance Committee meetings including posting meeting package and minutes to website. . Assists CFO with preparing the agenda and meeting packets. Records meeting minutes and retains results. Provides logistical support including the arrangement of meals and the meeting room. . Maintains permanent files of finance committee and departmental staff meetings as well as copies of board meetings and delegate assemblies. . Conducts annual review and renewals, maintains all related reports and takes all necessary actions related to insurance on behalf of the company. The latter would include responding to all requests for certificates of insurance. Works with broker to obtain spreadsheet of all coverages, including annual costs by insurance type. Provides spreadsheet data to CFO and F/S Associate for budgeting and allocation purposes. Supports annual audit effort in this area. . Assist CFO in periodic review of insurance providers; acts as liaison to outside insurance broker(s). . Ensures all company cars are insured. Maintains records for all such vehicles. Handles all insurance claims, accident reporting, lease renewals, registration/license, traffic fines, and other related issues. . Handles all general building and professional liability insurance needs, including all claims for multiple buildings. . Acts as Financial Services Department resource for administrative support and filing as needed. Specific needs include handling filing and retention needs of all federal and state tax reporting. IRS status, articles of incorporation, property taxes, PAC reporting, property management reports, banking, investments, and annual audit and tax prep efforts. . Maintains budget and financial reports to include tracking of all leases, investments, and loans. Notifies internal and external constituents of all changes in these areas. Assists CFO and the Senior Accountant in the distribution of the monthly financial reports. Assists payroll manager with activation, distribution, and file copies of the business credit cards. . Maintains the following master lists or calendars used by the department - CFO's calendar, department production calendar, department staff calendar. . Assists other Financial Services Department staff with document preparation and distribution as determined by the CFO. . Provides support on critical projects as needed. . Independently composes letters and memos related to area of assignment and/or assist CFO. .
