Job Description:/h3:
Reports To: Dean of School of Education and Psychology; Supervised by Art Therapy Psychology Doctoral Program Director
Status: Three:quarters time, Non:Exempt (30 hours a week: 10 hours in SEP/20 hours in Art Therapy including one weekend a month)
Provide administrative support for the School of Education and Psychology (SEP) with primary responsibilities in the Art Therapy Psychology Doctoral Program. This includes support for administration of academic programs, support for faculty and students, as well as related professional institutions, agencies, and associations. Perform a wide variety of professional administrative tasks including candidate recruitment, screening, and follow:up, working with current students, management of files and records, and collaborate with university admissions and marketing departments. Ability to deal with multitask situations on a continual basis, engage in problem solving and
understand/maintain confidentiality standards.
General Office:
:Process correspondence and communications in a timely manner, so that students and faculty receive prompt attention and accurate information.
:Process purchase orders, check requests, and invoices in a timely manner.
:Maintains program files, data bases (faculty, student, and alumni contact lists) and archival records, including process all incoming student files.
:Answer phone, take messages, return phone calls, check phone message, manage program e:mail, and schedule appointments.
:Provide information and assist full:time and part:time faculty and students regarding course schedules, department and university procedures. Provide information concerning community based student needs.
:Duplicate and distribute all policies, memos, and information to students, full:time and part:time faculty, in accordance with periodic needs and regular timelines.
:Review and revise content for school and department website, Admissions office materials, and course catalog as needed.
:Facilitate meetings, scheduling, special projects, and events. Submit security, maintenance and audiovisual requests and room reservations.
:Assist in faculty search process by assisting candidates with travel arrangements, itineraries, interview schedules, and distribution applicants materials to interviewers.
:In collaboration with NDNU Admissions, attend recruitment events (on and off campus) to answer questions, publicize program(s), and recruiting applicants.
:Assist with clerical and communication aspect of recruitment, ensuring that application paperwork is generated, inquiries addressed and interviews arranged.
:Conduct continuous, on:going communication with applicants and prospective students, via phone, e:mail, and mail.
:Field all calls from prospective students about the program, notifying them of recruitment events (e.g. Graduate Information Forums, Graduate Open House, etc.), interviews and academic advising opportunities.
:Work with Admissions to assist students with application process, clarify prerequisite requirements, offer registration support, and disseminate information regarding course offerings and schedule.
:Process all incoming student files. Coordinate and process registration for out:of:state and new students.
Art Therapy Program Coordination
:Collaborate with Art Therapy Program Director to plan and create course schedule; work with part:time faculty to identify and schedule course dates. Manage program calendar and update with university and department meetings; distribute to faculty in timely manner any updates or changes.
:Work closely with faculty to update manuals, reorganize study materials, and submit Course Adoptions to the University Bookstore in a timely manner.
:Create and post flyers, and maintain bulletin boards on special events, classes and job opportunities pertaining to Art Therapy.
:Arrange program meetings, as needed, and prepare age
