An established San Mateo law firm is currently seeking a Contactor as a Client Services and Marketing Coordinator to welcome guests at the firm, answer phones, schedule meetings, plan events and to work alongside the partners, office manager, file and clerical assistants. This would be a contract position with the possibility to grow into a full:time position.
The Client Services Coordinators main objective will be responding to client inquiries and issues, seeking out answers and keeping our clients happy. This position is also responsible for a wide variety of job duties ranging from supporting the paralegals in file handling, correspondence with clients, calendaring and scheduling meetings, managing and delegating tasks to the clerical assistants.
Client Services Coordinator participates in the firms overall marketing and strategic planning programs and corporate communications. The Client Services Coordinator Is responsible for creating a professional, efficient office environment that is an authentic expression of the firms mission statement by enabling the firm to provide top quality legal services.

Essential duties and responsibilities
:Meeting and greet clients, vendors and other visitors to the firm; both in person and over the phone
:Assisting with client inquiries, seeking out answers and resolving issues
:Assisting with filing, scanning, archiving and file destruction
:Managing, receiving mail and deliveries
:Scheduling and calendaring
:Managing attorney calendar
:Assisting with projects as needed
:Bank deposits : (back up)
:Event coordinating (Mediation and arb, meeting preparation, food/lunch orders...)
:Assisting with the firm business development and communications activities
:Assisting with and support firms involvement in various community service work
:Call in for service and equipment repairs
:Office organization, appearance, office inventories, and supplies
:Education: Associate of Arts degree or equivalent, Bachelor of Arts a plus.
:Knowledge: Understanding client service practices especially as they pertain to a legal service organization. Understanding of the essentials for providing customer service that results in sustainable customer satisfaction.
:Experience: 2:5 years experience in a legal and client service environment.
:Skill/Aptitudes: Team player with a focus on helping others to succeed. Strong relationship:building and customer service skills to meet the needs of the diverse population being served. A team player who takes a big picture view and contributes to win:win situations and outcomes. Anticipates needs well, takes initiative and responds proactively. Works well in a multi:task environment with minimal supervision.
:Proficient computing skills especially in the use of MS Office software (Word, Excel, PowerPoint, Outlook preferred).
:Proficient use of calendar and database software preferred (Experience with TimeMatters, TimeSlips a plus).
:Strong organization skills.
