Job DescriptionThe Administrative Assistant is responsible for providing administrative support to the Department and/or Division. This position will provide general assistance to all levels of staff.ESSENTIAL FUNCTIONS:. Act as liaison between supervisor and others (ie, departments, external contacts, vendors, clients, etc.).. Oversee/process day-to-day administrative items: mail, overnight mail, packages, expense reports, checks, etc.. Answer inquiries and/or direct calls to appropriate staff.. Coordinate and initiate meetings and travel arrangements for the Department. Arrange schedules for management staff.. Maintain supervisor's calendar, schedule meetings and conference rooms for Department.. Compose and/or edit/distribute letters, memos, reports and other departmental correspondence on time.. Sort and distribute incoming mail for Department.. Order and maintain office supplies.. Provide support by photocopying, filing, and sending faxes as needed.. The responsibilities of this position include, but are not limited to those listed above and other duties may be assigned.EDUCATION:Associates Degree or Bachelor's Degree preferred. Can be a combination of training, education and relevant work experience that is equivalent.EXPERIENCE:. 1-2 years previous administrative support experience, preferably in a construction environment.. Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Oracle and Sharepoint experience preferred.KNOWLEDGE AND SKILLS:. Computer, filing, and 10-key skills required.. Attention to detail is a must; strong analytical skills favored.. Tactful and has professional demeanor, and ability to interact effectively with managers, employees, vendors and others;. Excellent verbal and written communication skills. Strong organizational, record-keeping and follow-up skills;. High level of discretion and interpersonal skills to handle sensitive and confidential matters and documentation;. Build and maintain solid work relationships with all levels of staff and management.. Must have the ability to multi-task and prioritize work load; Capacity to handle interruptions regularly.. Demonstrated ability to be self-motivated, proactive and an effective team player.. Ability to understand and follow standard operating policies and procedures;.
